What should a Shopify return and exchange process explain?

Explain what the customer should do and what happens next. The policy needs to match your process and applicable obligations, not another store’s wording.
Walk through an unsuitable item
Suppose a customer chose the wrong size. Where do they send the request, what information is needed, who reviews it and how is the item transported? Distinguish asking for a return from approval and a completed refund. Have the owner approve conditions and obtain appropriate legal review. Put important product-specific information near the buying decision. Then use recurring return reasons to improve sizing or descriptions instead of treating every request as an isolated support problem.
Connect the policy to operations
Write down who receives requests, checks eligibility, organises transport and approves refunds or exchanges. Include exceptions only when they reflect the actual offer and applicable obligations. A copied policy can describe services your team does not provide or omit conditions that matter to your products.
Make product-specific details visible
For clothing, clarify how customers choose the correct size and find any relevant exchange information before buying. Distinguish a return request from an approved refund. Avoid hiding important limitations in an unrelated page; link to the relevant explanation from the product journey and footer.
Test the process as a customer
Ask someone to locate the instructions and explain what they would do with an unsuitable item. Review the resulting support message and identify missing information. Keep contact channels current and update the policy when operations change. Track repeated reasons for returns as input for better product content.
Write the actual customer journey
Explain where the customer starts, what information staff need and how the request is assessed under the applicable policy and requirements. Distinguish exchanges, refunds and delivery problems. Have operations review the wording so the site does not promise a process your team cannot carry out.
