Operations and next steps

How should a Shopify business manage staff and agency access?

Use the access arrangement designed for the task and keep owner recovery under the business’s control. Shared passwords make responsibility harder to track.

Separate editing from financial control

Someone uploading products may not need to approve charges or publish theme code. List the work first, then grant the relevant permissions through supported access methods. Review people and apps when contracts change. Keep business email, recovery details and spending authority documented. Do not forget external tools: an old supplier may lose store access while still controlling a connected service essential to operations.

Identify the roles

Separate catalogue editing, theme work, orders and financial tasks. Review which permissions each person actually needs. Use supported access methods for external collaborators instead of sending the owner’s login through messages.

Prepare for changes

Record who can approve spending, publish code and recover the account. Review access when a staff member or supplier leaves. Keep the business email and recovery arrangements current so an expired personal account does not block operations.

Check connected tools

Apps and external services can hold separate access and data permissions. Maintain an access register that covers them as well as Shopify. Review suspicious activity through appropriate support and incident processes rather than making improvised changes without a record.

Agree how access ends

Give each person access through the supported account or collaborator route and only to the work they need. Record who owns critical settings and how access will be removed after handover. Recovery information should remain with the business so changing an agency does not become an account-recovery problem.
